Front desk and night register
For members’ bars, clubhouses and any club with a door to mind. Members scan their digital membership card at a self check-in kiosk and get a welcome by name. Reception can check anyone in by name, sees arrivals as they happen, and the committee gets a night register of who came in on any night. No clipboard, no signing-in book, no special hardware beyond a tablet.
What you can do
Put a tablet on the front desk. Members hold up the membership card on their phone or in Apple Wallet or Google Wallet, and the kiosk says “Welcome, Sam” or “Welcome back, Sam” if they are already in tonight. It keeps its screen awake, restarts its own camera and reloads itself overnight, so it is still working at closing time.
A lapsed membership, a replaced card or an unrecognised code never shows the reason on the kiosk. It simply says “Please see reception”, and the reason appears on the reception screen, so nobody is embarrassed in front of the queue.
Forgot their phone? Staff search active members by name and check them in by hand, with their card photo to confirm it is them. A mistaken manual check-in can be undone within 15 minutes, and the arrivals board updates every few seconds.
Door staff can be given a check-in-only permission. They see names, photos, category and whether a membership is active. They never see email addresses, phone numbers, dates of birth or the member directory, and they cannot export anything. If you want reception to reach a member’s emergency contact or read your notes about them, add the Member notes permission and they open both from the desk, still without the directory.
Pick a night and see every member who came in, with the time they arrived and their contact details, as a branded report you can print, save as a PDF or download as a spreadsheet. A night runs past midnight to your chosen cut-off, so a Friday that ends at 01:00 stays Friday.
Each member counts once per night however many times they scan, voided check-ins never count, and every view or download of the register is logged. It records arrivals, not departures, so it shows who came in rather than who is still inside.
How it works
Create a kiosk link in your club settings, open it on the front-desk tablet and enter the PIN. The link then only works on that tablet, so a copied link is useless anywhere else.
Members show the membership card already on their phone. Anyone who needs help is checked in by name at reception, and the arrivals board shows everyone in real time.
The committee opens the night register for any night, prints it or downloads it, and sees attendance build up in the analytics over the weeks.
